Rehearsal scheduling

Find a rehearsal night that works for the band

No more “which night works for everyone?” thread. Offer a few times, band members tick the ones they can make from their link, and you confirm the final time.

Your first 3 gigs are free, no card needed. Part of every GigPenguin band.

How rehearsal scheduling works

Offer a few times

Put up the nights that work for you.

Plan the rehearsal from the gig it's for, or on its own. Add up to 20 start times, how long it runs, and a day to answer by.

  • Planning from a gig brings in its band members.
  • Need another option later? Add a time. Anyone who already answered gets a message about it, and their other answers stay.

What band members get

One page. Tick the times that work.

Each band member gets their own text or email with a link. They tick every time they can make, add a note if they need to, and send. They can change it until you pick a time.

  • No app, no account, no password.
  • They only see their own answers, never anyone else's.

See who can make what

Every answer in one place, the best night marked.

Times stay in date order with who can and can't make each one. Notes show underneath. When everyone has answered, or the answer-by day passes, your home page says it's ready to pick.

  • Anyone who hasn't answered gets reminders, never between 8 pm and 9 am their time.
  • Answers arrive while you watch. No refreshing.

Lock it in

Pick the night. Everyone who said yes is in.

The dialog shows who's in and who still needs to confirm. Lock it in and it becomes a rehearsal sheet like any other: the yeses are told they're in, and everyone else gets the usual ask with a day to answer by.

  • Nobody can make any of them? You can still pick one, and everyone is asked.
  • From here it works like a gig: reminders, changes, Got it.

Tied to the gig

New on the gig? They're on the rehearsal too.

When someone new says yes to the gig, like a sub for the sax spot, they're added to its upcoming rehearsals. Nothing goes out until you send it.

  • Your home page tells you who hasn't been sent the rehearsal yet.
  • A rehearsal on its own? Skip the gig and add band members yourself.

Questions bandleaders ask

Do band members need an account?

No. Their link is all they need. It opens one page on their phone with the times to tick.

What if nobody can make any of the times?

Add more times. Band members who already answered are asked about the new ones only, and their other answers stay. Or pick a time anyway, and everyone is asked to confirm it.

What happens to people who said no to the time I picked?

They get the usual ask for that time, with a day to answer by and reminders. If their plans changed, they tap I'm in.

Can band members see each other's answers?

No. Each band member sees only their own. You see everyone's.

Does it work for rehearsals that aren't for a gig?

Yes. Choose “Just a rehearsal” and add the band members you want.

Do I have to use it?

No. If you already know when the rehearsal is, choose “I know when” and send it like a gig sheet.

Plan the next rehearsal. GigPenguin does the legwork.

Rehearsals and gigs live in the same place, with the same band members and reminders. See how gig sheets work.
