The short answer: Band Pencil is a CRM for live-music bookings: enquiries, clients, contracts, invoices and the musicians on each gig. GigPenguin does just the musician part, getting the gig sheet to every band member and their answer back to you. If you need the whole booking pipeline, Band Pencil covers more. If you don't, you may not need a CRM at all.

Where Band Pencil is the better choice
Band Pencil runs the booking side: a lead form and pipeline for enquiries, a client portal, contracts with e-signature, invoices and online payments. On the musician side it has a lineup builder with availability checks, and a member portal where performers see their gig details and set their availability. Higher plans add bulk messaging, auto-booking, scheduled emails and an API. If you're an agency or a busy event band and you want enquiries through to payment in one place, it does a lot more than GigPenguin.
Where GigPenguin is the better choice
- No portal to log in to. Band members get a text or email with a link to their own gig sheet. That's it.
- You see who's read what. Whether the sheet arrived, when it was opened, and whether it was the latest version.
- Changes get acknowledged. Everyone gets a notice with what changed, old to new, and a Got it button, and you see who's still on the old plan.
- Reminders are built in. Anyone who hasn't answered gets one each morning, their time, with no plan upgrade.
- No CRM to maintain. If your bookings come from a handful of planners and regular venues, you may not need a pipeline at all.
Which should you pick?
If you manage a stream of enquiries, contracts and invoices, Band Pencil is the more complete tool. If your bookings are already handled and the time sink is getting the band confirmed and keeping everyone on the same plan, GigPenguin does that one job with less to set up.
Pricing
Band Pencil's plans are Standard at $29 a month (1 user), Premium at $49 (3 users) and Ultimate at $99 (5 users), with cheaper yearly billing. Performers don't need paid seats. There's a 14-day trial of Ultimate. Your first 3 gigs are free, no card needed. After that it's $29 a month or $290 a year for every band you lead, and band members never pay.
